01 — THE BRIEF
A brokerage process that ran on spreadsheets, inboxes and phone calls
Ping Offices advises occupiers on serviced, managed and leased office space across Dublin and Ireland. The service is fast by design: a discovery call, a tailored shortlist inside an hour, viewings arranged the same week.
Listings arrived from operators in inconsistent formats. Shortlists and proposals were assembled by hand for every enquiry. Enquiry data lived in one place, the CRM in another. The brief was to design and build a single platform that carried a requirement from first enquiry through to signed lease, with fast flows and automation.
- One structured listing model for six property types
- Self-service portals for agents and operators
- Client-facing proposals generated from a shortlist in minutes
- Every enquiry, contact and deal synced to Zoho CRM automatically
- Search visibility for location and office-type queries from day one, powered by Google

08 — A NOTE FROM DAVID

David van den Berg
Managing Director, Excel Web Design
The Ping team knew what they wanted. We mapped, designed and built a platform that streamlined their flows.
The interesting challenge here was backend structural rather than frontend visual. While as a customer, you see a pretty frontend, most of the work went into the engine, refining it over and over until it worked perfectly. On the frontend, we had to work out, how can we make finding properties as easy as possible for potential customers, without making the search any harder for an occupier who only wants to answer three questions: where, what type, and how many people. Getting that right took several passes with the advisory team.
The other significant piece was the Zoho integration. Reaching the point where nobody re-enters a contact, a requirement or a deal stage is unglamorous work, and it is the part the team feels every day. We ran both systems in parallel until we were confident the sync was clean.
It was a pleasure to work with Ping Offices throughout. They were clear about what mattered to their business, made decisions quickly, and brought real operational knowledge to every review, which is the main reason the project ran as smoothly as it did. We continue to support and extend the platform as the business grows.

Have a platform that needs building properly?
