01 — THE BRIEF

A brokerage process that ran on spreadsheets, inboxes and phone calls

Ping Offices advises occupiers on serviced, managed and leased office space across Dublin and Ireland. The service is fast by design: a discovery call, a tailored shortlist inside an hour, viewings arranged the same week.

Listings arrived from operators in inconsistent formats. Shortlists and proposals were assembled by hand for every enquiry. Enquiry data lived in one place, the CRM in another. The brief was to design and build a single platform that carried a requirement from first enquiry through to signed lease, with fast flows and automation.

  • One structured listing model for six property types
  • Self-service portals for agents and operators
  • Client-facing proposals generated from a shortlist in minutes
  • Every enquiry, contact and deal synced to Zoho CRM automatically
  • Search visibility for location and office-type queries from day one, powered by Google

02 — WHAT WE DELIVERED

Design and complete build, front and back

01

UX & UI design

Full design of the public site and both authenticated portals, from search and listing detail through to the multi-step instant-quote flow.

02

Listings engine

A single structured model covering serviced, managed, leased, co-working, retail and industrial space, with filtered search on location, type and headcount.

03

Agent & operator portals

Separate registration, login and permissions for operators listing space and agents managing enquiries, with availability and pricing controlled by the owner of the space.

04

Customer proposals

Shortlists become branded, shareable proposals with pricing, terms and comparison — assembled from live listing data rather than rebuilt by hand.

05

Zoho CRM integration

Two-way sync of contacts, enquiries, requirements and deal stages, so the sales team works in Zoho while the platform stays the source of truth for property data.

06

Technical SEO

Extended optimisation across listing and location templates: metadata, structured data, internal linking, and a guides library targeting office-search intent.

03 — FRONTEND

Search, shortlist, enquire — on any device

The occupier journey is three decisions wide: where, what type, how many people. Everything else is progressive — filters, shortlisting and the instant-quote flow only appear when they are useful.

04 — BACKEND

The admin side is where the time was won

Listings, agents, operators, enquiries and proposals share one back office. An enquiry lands, an advisor builds a shortlist, the proposal generates itself, and Zoho updates without a second entry.

05 — INTEGRATION

One record, two systems, no retyping

Enquiries captured anywhere on the platform are written to Zoho CRM with the full requirement attached. Stage changes made by the sales team in Zoho flow back, so the platform and the pipeline never disagree.

Laravel PHP 8 MySQL JavaScript Zoho CRM API Google Maps Structured data WebP media pipeline
01

Discovery & process mapping

Sat with the advisory team to map how an enquiry actually travels, from first call to signed lease, and where the manual work sat.
02

Data model & UX

Defined one listing schema for all six property types, then designed the search, listing and proposal journeys around it.
03

Build in stages

Public site and listings first, then operator and agent portals, then proposals — each released to the client for review before the next began.
04

CRM integration & migration

Mapped fields to Zoho, migrated existing listings and contacts, and ran both systems in parallel until the sync was clean.
05

Launch, SEO & support

Technical SEO across listing and location templates, performance tuning, then ongoing support and iteration post-launch.

07 — IN THE CLIENT'S WORDS

I couldn’t recommend David and his team highly enough. They took the time to understand our business, our goals and the type of experience we wanted to create for our customers. Throughout the project, communication was excellent, and any changes we requested were handled quickly and professionally. They also brought plenty of their own ideas to the table, helping us improve both the design and f…

08 — A NOTE FROM DAVID

David van den Berg

Managing Director, Excel Web Design

The Ping team knew what they wanted. We mapped, designed and built a platform that streamlined their flows.

The interesting challenge here was backend structural rather than frontend visual. While as a customer, you see a pretty frontend, most of the work went into the engine, refining it over and over until it worked perfectly.  On the frontend, we had to work out, how can we make finding properties as easy as possible for potential customers, without making the search any harder for an occupier who only wants to answer three questions: where, what type, and how many people. Getting that right took several passes with the advisory team.

The other significant piece was the Zoho integration. Reaching the point where nobody re-enters a contact, a requirement or a deal stage is unglamorous work, and it is the part the team feels every day. We ran both systems in parallel until we were confident the sync was clean.

It was a pleasure to work with Ping Offices throughout. They were clear about what mattered to their business, made decisions quickly, and brought real operational knowledge to every review, which is the main reason the project ran as smoothly as it did. We continue to support and extend the platform as the business grows.
